Sculpture Entry - Terms, Conditions and Guidelines

Prior to submitting your application, please check the below criteria have been met and are carefully considered.

Eligibility
All types, forms and sizes of sculptures in any media will be welcomed for participation in this event. (The organizing committee asks artists to consider safety in their design and use of materials).

All works must be representative of their submission application and finished to a standard for public exhibition.

The sculpture/s must be the original work of the submitting artist.

Final Selection
Works may be refused if deemed unsuitable, unsafe or not representative of the original application and the organizing committee’s decisions on suitability for the show and exhibition will be final.

Bump In and Bump Out
The transportation to and from the exhibition site, including installation and dismantling of the sculpture/s, will be the sole responsibility of & cost to the artist.

The maintenance and damage repair of all sculptures whilst part of the exhibition will be the sole responsibility of & cost to the artist.

Packaging material used in the transportation of the sculpture is to be removed from the exhibition site immediately after installation.

Access to the site will be from 10.00am on Sunday, 24th March to Tuesday, 26th March and sculptures are to be delivered and installed by 5.00pm on the day (or by prior arrangement with Marian Rennie but no later than the 26th March. Please ring Marian to confirm an approximate time of arrival and of any special requirements, eg forklift).

Bump out can commence from 10.00am to 5.00pm on Tuesday, 30th April to Friday, 3rd May or by other arrangement with Marian Rennie.

Exhibition site selection for all works will be agreed between the artist and Show Director.

The organizing committee will arrange for a numbering plaque to accompany each entry and a paper catalogue acknowledging the artist, title of the piece and selling price. Artists are invited to include their biography and a description of their works for display purposes. This information will also be published on the Marian Rennie/Sculpture at Acheron website.

Acquisitions and Sales
All submitted works for the exhibition must be available for sale.

The committee will sell works on behalf of artists therefore submissions must be priced accordingly. The total of any agreed sale price will be payable directly to the organizing committee as the artist’s selling agent. There will be a 30% commission charge on all sales. Should there be a sale or a commission within 3 months as a direct result of the Within the Land – Sculpture at Acheron show and exhibition, the same 30% will apply.

Prices may not be changed after notification of acceptance into the exhibition unless by negotiation with Marian Rennie.

Artists are to provide their bank account information with their entry. Any monies acquired by the organizing committee from the sale of sculpture works, minus the 30% commission, will be transferred into the artist’s account by 28th May 2024.

It is the sole responsibility of exhibiting artists to clarify and resolve any issues regarding pricing and/or commissions with existing arrangements they may have with other agents prior to the submission of their application.

The removal of sold & unsold works is the responsibility of the artist and/or purchaser. This includes the insurance costs, dismantling and transporting from the site at the conclusion of the exhibition.

All works are to remain on site until after the close of the exhibition on 28th April 2024. Marian Rennie will dedicate a large section of her artist website to the Within the Land – Sculpture at Acheron Exhibition. All entries will be included on the site and may remain on the website for sale after the close of the exhibition with artist approval.

Reproduction of Images
Each submitted work will require at least two high resolution jpeg images (minimum 300 dpi). The artist authorizes the organizing committee to use these images for any marketing purposes including but not limited to publicity, advertising, website, documentary, promotional video, catalogue, exhibition or archival purposes in any manner connected with the exhibition and/or its sponsors.

Application Fee
Sculptures: A non-refundable fee of $50.00 is applicable for 1-3 entries, with a further $30 payable for 4 or more entries. These fees will help to cover administration costs.

Artisan Alley Marquee: A non-refundable fee of $30.00 is applicable for the Anzac Saturday.

All relevant application fees are to be submitted into the nominated bank account with the downloaded applicable Application and Agreement Form.

Prospective exhibitors and Artisan Alley stallholders are required to complete the relevant Application and Agreement Form by the stated closing date (5.00pm, 26th March 2024) with the additional information as stated below.

Additional Information
The following should be included as part of your application:

1. Application fee
2. Images of artworks or sketches and visual documentation; this can be a computer-generated image. (This applies to Sculptor entries only)
3. Artist biography or resume
4. Artist declaration that the work/s being submitted is their original work. Also note whether limited edition copies apply; if so, how many, ie if work submitted is, say, 1 of 3 which can be sold during the exhibition. (This applies to Sculptor entries only)
5. Artist’s full name, title of the piece/s being submitted and brief notes on each piece being submitted. (This applies to Sculptor entries only)
6. Artist’s bank account details. (This applies to Sculptor entries only)
7. Preliminary construction details, dimensions, weight and materials for installation (if required. Discuss with Marian). (This applies to Sculptor entries only)

General Information and Liability
The organizing committee will exercise all reasonable care with the submitted works however they accept no responsibility for any damage, loss, liabilities or costs incurred or suffered by any person whilst in transit or on exhibition as a result of submitting any works to Within the Land – Sculpture at Acheron, its curation or any related events. All required insurance is the responsibility of the exhibiting artist.

Artists cannot make a claim against the committee, sponsors and/or volunteers working under their direction from and against any and all claims, liabilities, losses, damages and expenses (including but not limited to solicitor’s fees and costs of the court) which may be incurred by reason of any claim involving copyright, theft, publicity and loss of/or damage to the sculptural work or works entered and exhibited.
The organizing committee is happy to negotiate with exhibiting artists to achieve the best results for all and looks forward to receiving your entries.

Other events may be staged during the Exhibition period to encourage broader interest and greater attendances, eg busking, musical entertainment, workshops, market stalls, catered functions.

Public Opening
The official Opening will be a Cocktail Party at Marian Rennie Gallery, Acheron on Easter Thursday, 28th March 2024 from 5.00pm. Exhibiting artists and their partners are most welcome to attend as guests. We also extend an invitation for up to 3 guests appointed by exhibitors, as a way of sharing networking and sales opportunities.

Please advise the number and names of guests to Marian (0412 109 129) or Christine (0448 105 261) beforehand for recording on attendance list.

This is a good chance to meet potential buyers and peers. Light refreshments will be served.

General Admission Information
1. Disabled parking facilities are available. Please take note of parking signs. There is also bus parking available.
2. The exhibition will proceed during all weather, so visitors are advised to wear appropriate clothing and sun protection.
3. Visitors should take care when walking around the gardens, especially in relation to any wildlife that may be encountered.
4. All visitors should take care in the proximity of sculptures and not touch, climb on or handle the works.
5. Children under 15 years of age should be accompanied by an adult at all times.
6. Organisers will not be liable for any injury or loss arising from contact with sculptures or artisan wares as a result from attending the exhibition.
7. All Sculptures are for sale. Sale prices will be listed in the catalogue and works can be purchased at the café/restaurant. The Marian Rennie website featuring Sculpture at Acheron will also publish pictures of sculpture entries with accompanying artist details and sale prices.
8. Purchases can be picked up after 28th April, between 9.00am and 5.00pm.
9. Entry into the event is $5 per person. This fee also includes entry to the Alexandra Rotary Easter Art Show 2024 which will run during the Easter period.
